Fix duplicate house numbers in addresses caused by data entry issues
Address Cleanup Utility
The Address Cleanup utility identifies and fixes addresses where the house number has been entered twice - once in the House Number field and again at the start of Address Line 1.
The Problem
When parents or staff enter address data, they sometimes duplicate the house number:
- House Number: 42
- Address Line 1: 42 High Street
This results in addresses displaying as '42 42 High Street' on documents and exports.
Accessing the Utility
- Go to Admin > Settings
- Click 'Address Cleanup' in the Utilities section
Preview Mode
Before making changes, review what will be fixed:
- Click 'Preview Cleanup'
- Review the list of affected records showing:
- Record type (Child, Parent, or Nursery)
- Name of the record
- Current address (before fix)
- Proposed address (after fix)
- Verify the proposed changes are correct
Running the Cleanup
- After reviewing the preview, click 'Run Cleanup'
- Confirm when prompted
- The system removes duplicate house numbers from Address Line 1
- A summary shows how many records were updated
What Gets Fixed
The utility checks all address records:
- Children - Child address records
- Parents - Parent/guardian address records
- Nurseries - Nursery address records
Detection Logic
An address is flagged for cleanup when:
- The House Number field contains a value (e.g., '42')
- Address Line 1 starts with the same value followed by a space (e.g., '42 High Street')

Tip: Run this utility periodically, especially after bulk data imports or at the start of a new funding period when many parent submissions are received.
Important: Always use Preview mode first to verify proposed changes. While the logic is conservative, reviewing changes prevents unexpected modifications.
