Setting Up Attendance Sessions
Configure a child's weekly attendance pattern and funded hours
Understanding Attendance Sessions
Attendance sessions define when a child attends nursery and which hours are funded vs paid privately. This information appears on funding agreements.
Funded vs Paid Hours
- Funded Hours - Hours covered by government funding (15 or 30 hours)
- Paid Hours - Additional hours paid by parents
Setting Up Sessions
- Go to the child's details page
- Find the Attendance Pattern section
- Click Edit Attendance
- For each day the child attends, add sessions with:
- Start time
- End time
- Whether the session is funded or paid
- Review the calculated totals
- Click Save
Using Session Templates
Session templates allow you to quickly apply common attendance patterns:
- Select a template from the dropdown
- Click Apply Template
- The template sessions will populate the grid
- Adjust as needed for this child
- Save changes
Templates are created by administrators under Admin > Session Templates.
Attendance Grid Display
The attendance pattern is displayed as a weekly grid showing:
- Each day with attendance highlighted
- Session times
- Funded hours in green
- Paid hours in blue
- Total hours per day
- Weekly totals for funded and paid hours
Additional Costs Per Session
You can attach additional costs (like meals) to specific sessions. These are separate from the child's overall Additional Extras and can be configured when editing attendance.
Important: Ensure total funded hours don't exceed the child's entitlement (15 or 30 hours per week). The system will show a warning if you exceed the limit.

Can a child have different sessions on different days?
Yes, you can configure different start/end times and funded/paid splits for each day of the week.
What happens if I exceed the funded hours limit?
The system will warn you if total funded hours exceed the entitlement. You'll need to adjust sessions or mark some as paid.
Can I have multiple sessions per day?
Yes, you can add multiple sessions per day (e.g., morning and afternoon sessions with a break).
