Medical Information & Allergies

Recording medical conditions, allergies, dietary requirements, and emergency contacts

Why Record Medical Information?

Accurate medical information is essential for child safety and may be required for certain funding claims (e.g., Disability Access Fund). This information is captured during the parent portal submission process or can be entered by staff.

Information Captured

Allergies

  • Whether the child has any allergies
  • List of allergies (food, environmental, medication)
  • Allergy details and reactions

Allergies are highlighted in red on the child details page for quick identification.

Medical Conditions

  • Whether the child has medical conditions
  • Description of conditions (asthma, diabetes, epilepsy, etc.)
  • Medication details if any

Dietary Requirements

  • Whether the child has dietary requirements
  • Description (vegetarian, halal, gluten-free, etc.)

Emergency Contacts

Two emergency contacts can be recorded with:

  • Full name
  • Phone number (clickable to call)
  • Relationship to child

The primary contact is highlighted with a different colour.

GP / Doctor Details

  • Doctor name
  • Phone number
  • Surgery name
  • Surgery address

Medical Consents

  • Consent to Administer Medicine - Permission to give prescribed/named medication
  • Consent for Emergency Treatment - Permission for emergency medical treatment

SEND Information

For children with Special Educational Needs and Disabilities (SEND), the following is recorded on the child's main record:

  • Whether the child has SEND
  • Details of their needs
  • Whether they have an EHCP (Education, Health and Care Plan)
  • Whether they have support workers
  • Support worker details if applicable

Displaying Medical Information

On the child details page, medical information is displayed in a dedicated section with:

  • Allergies in a red-highlighted box
  • Medical conditions in an amber-highlighted box
  • Dietary requirements in a green-highlighted box
  • GP details in a separate section
  • Consent badges showing which consents have been given

Tip: Children with SEND may be eligible for additional funding through EYPP (Early Years Pupil Premium) or DAF (Disability Access Fund).
