Missing Data Issues

Children not appearing in lists

Check the following:

  • Active Status - Child must be marked as Active
  • Nursery Assignment - Child must be assigned to your nursery
  • Start Date - Must be on or before the current date
  • End Date - Should be blank or in the future
  • Filters - Check if any filters are applied that exclude the child

Submissions not appearing in reports

Verify:

  • Funding Period - Correct period is selected
  • Nursery Filter - Correct nursery is selected (or 'All')
  • Status Filter - Submissions may be filtered by workflow state
  • Archived - Archived submissions don't appear in normal views

Incorrect Data

Child's age showing incorrectly

  • Age is calculated from date of birth
  • Check date of birth is entered correctly (DD/MM/YYYY format)
  • Age for funding purposes is calculated at specific dates

Hours calculations seem wrong

  • Review the child's attendance sessions
  • Check which sessions are marked as 'Funded' vs 'Paid'
  • Verify session times are correct
  • Total hours = sum of funded session hours

Submission counts don't match

Different counts may appear due to:

  • Different nursery selections
  • Different status filters
  • Archived vs active submissions
  • Date range filters

Export Issues

Excel export has missing columns

  • Different export types include different columns
  • Claim Matrix focuses on LA requirements
  • All Submissions export includes more details

Data looks wrong in Excel

  • Check Excel isn't auto-formatting dates or numbers
  • NI numbers may display as text to preserve leading zeros
  • Open the file with 'Import' rather than double-click to control formatting

Data Corrections

Child details need updating

  1. Navigate to the child's details page
  2. Click 'Edit'
  3. Make changes and save
  4. Changes apply to future submissions only

Signed submission has incorrect data

  • Signed submissions cannot be directly edited
  • You must reject the submission
  • Parent resubmits with correct information
  • Or create a new submission

Important: Changes to child records do not retroactively update signed submissions. Signed agreements are permanent records.

Frequently Asked Questions

A child is showing in the wrong nursery
Edit the child's record and change their assigned nursery. Only users with access to the child's current nursery can make this change.
Historical submissions have wrong data
Signed submissions cannot be edited as they are legal documents. The data reflects what was accurate at the time of signing. For audit purposes, this is correct behaviour.
Report totals don't match my manual count
Check all filters are set correctly. Ensure you're looking at the same date range, nursery, and status. Use 'Export All' and count in Excel to verify.
