How to export approved claims to Excel for local authority submission

Excel Export Overview

The system provides two Excel export options for funding claims, both designed to work with local authority portal import formats.

Export Types

1. Claim Matrix Export (Approved Only)

Exports only approved and exported submissions - the standard export for local authority submission.

  1. Go to Reports from the main navigation
  2. Select the funding period using the dropdown
  3. Optionally select a specific nursery (or leave as 'All Nurseries')
  4. Click 'Export Claim Matrix'
  5. The Excel file downloads automatically

2. All Submissions Export

Exports all submissions regardless of status - useful for internal tracking and analysis.

  1. Go to Reports from the main navigation
  2. Select the funding period
  3. Optionally filter by nursery
  4. Click 'Export All Submissions'

Export File Format

The export creates an Excel file (EYFP_[Period]_[Nursery]_[Date].xlsx) containing:

Row Limits

For performance and memory safety, exports are limited to 5,000 rows per export. If your export exceeds this limit:

  • A warning message will display showing the total available vs. exported count
  • Filter by individual nursery to export in smaller batches
  • Combine multiple nursery exports in your spreadsheet software

After Exporting

  • Exported submissions remain in their current status (they are not automatically changed)
  • Mark submissions as 'Exported' manually after submitting to your LA to track progress
  • Keep exported files for audit purposes

File Naming Convention

Files are named in the format:

  • Claim Matrix: EYFP_Spring_2025_Little_Stars_Nursery_20250115.xlsx
  • All Submissions: All_Submissions_Spring_2025_All_Nurseries_20250115.xlsx

Important: Only approved submissions are included in the Claim Matrix export. Ensure all submissions are reviewed and approved before your local authority deadline.

Tip: Many local authorities accept the EYFP format directly. Check with your LA for their specific import requirements.

Frequently Asked Questions

Why are some submissions missing from my export?
The Claim Matrix only exports approved submissions. Check that all submissions have completed the approval workflow. Use 'Export All Submissions' if you need to see all statuses.
Can I export for multiple funding periods at once?
No, exports are per funding period. Select each period individually and export separately if you need data for multiple periods.
The export file is empty - what went wrong?
An empty export means no approved submissions exist for the selected period and nursery combination. Check the Reports dashboard to see submission statuses.
How do I include daily attendance hours in the export?
Daily hours come from the child's attendance sessions. Ensure attendance patterns are set up correctly for each child before creating submissions.
