Managing user accounts, permissions, roles, and multi-nursery assignments

User Management Overview

The User Management system allows administrators to create staff accounts, assign roles, and configure multi-nursery access. Access via Admin > Users (Head Office only).

User Roles

The system has four user roles with different access levels:

Creating a New User

  1. Go to Admin > Users
  2. Click 'Add User'
  3. Enter the required details:
    • Email - Used for login (must be unique)
    • First Name and Last Name
    • Mobile Number - Optional, for SMS notifications
    • Role - Select from the dropdown
  4. Configure nursery assignments (see below)
  5. Click 'Save'
  6. The user receives an email invitation to set their password

Multi-Nursery Assignments

Staff can be assigned to one or more nurseries. Each assignment includes:

Adding Nursery Assignments

  1. In the user edit form, scroll to Nursery Assignments
  2. Click 'Add Nursery'
  3. Select the nursery from the dropdown (searchable)
  4. Enter their Job Title at this nursery
  5. Check 'Is Manager' if they should appear on funding documents
  6. Click 'Add Assignment'
  7. Use the Primary radio button to set their main nursery
  8. Repeat for additional nurseries if needed

Manager Flag Explained

Users marked as 'Is Manager' at a nursery will appear on the GOV PDF agreement form in the 'Document recorded by' field. This documents which staff members verified the child's identity and completed the submission.

Format on PDF: Jane Smith - Nursery Manager, John Doe - Deputy Manager

Managing Existing Users

Editing User Details

  1. Click on a user in the list
  2. Modify any fields as needed
  3. Add or remove nursery assignments
  4. Click 'Save Changes'

Resetting Passwords

  1. Click on the user
  2. Click 'Reset Password'
  3. The user receives an email with a password reset link

Unlocking Accounts

Accounts are locked after multiple failed login attempts. To unlock:

  1. Click on the locked user
  2. Click 'Unlock Account'
  3. The user can now attempt to log in again

Deactivating Users

  1. Click on the user
  2. Click 'Deactivate'
  3. Deactivated users cannot log in but their data is preserved
  4. Click 'Activate' to re-enable access

User List Features

  • Search - Filter by name or email
  • Filter by Role - Show only specific roles
  • Filter by Nursery - Show staff assigned to a specific nursery
  • Show Inactive - Include deactivated accounts

Tip: Staff can be assigned to multiple nurseries but must have exactly one Primary nursery. This is their default location when logging in and determines which nursery's data they see first.

Important: Removing a user's last nursery assignment will prevent them from accessing any nursery data. They will only see an empty dashboard.

Frequently Asked Questions

Can I assign a user to all nurseries at once?
Head Office users automatically have access to all nurseries. For other roles, you must add each nursery assignment individually.
What's the difference between Primary and Manager flags?
Primary determines which nursery is their default when logging in. Manager determines whether their name appears on funding documents.
Can a user have different job titles at different nurseries?
Yes, each nursery assignment has its own job title. A user could be 'Nursery Manager' at one location and 'Relief Staff' at another.
How do I find which users work at a specific nursery?
Use the 'Filter by Nursery' dropdown on the Users page to show only users assigned to that nursery.
